Okanagan Marine Guys ("we," "us," or "our") is a marine services company based in Kelowna, British Columbia, Canada. We provide boat detailing, ceramic coating, polishing, marine flooring, shrink wrapping, gel coat repair, window tinting, and related services across the Okanagan Valley.

We operate a detailing bay at Aqua Boat Club, located at 560 Truswell Rd, Kelowna BC V1W 3L3, and offer mobile services across the region.

For all privacy matters, we are the organization accountable for your personal information and the designated contact is reachable at info@okanaganmarineguys.ca.

This Privacy Policy applies to all personal information collected, used, or disclosed by Okanagan Marine Guys in the course of commercial activities, including through:

  • Social media interactions where you contact us directly

This policy is governed by Canada's federal Personal Information Protection and Electronic Documents Act (PIPEDA). PIPEDA sets out ten fair information principles that govern how private-sector organizations collect, use, and disclose personal information in the course of commercial activity.

Note for British Columbia residents: British Columbia has its own private-sector privacy legislation (PIPA). Where PIPA applies, we comply with its requirements in addition to PIPEDA. The practices described in this policy are consistent with both statutes.

We do not knowingly collect personal information from individuals under the age of 18. If you are under 18, please have a parent or guardian contact us on your behalf.

Why We Collect It

Under PIPEDA, we are required to identify the purposes for which personal information is collected at or before the time of collection. We collect your information only for the following purposes:

  • Service booking and scheduling — to confirm appointments, assign technicians, and coordinate mobile service locations
  • Service delivery — to understand your vessel's needs and perform the requested marine services properly
  • Communication — to send booking confirmations, appointment reminders, follow-up messages, and respond to your inquiries
  • Customer relationship management — to maintain records of services performed for warranty, repeat booking, or quality assurance purposes
  • Invoicing and payment processing — to issue quotes, invoices, and coordinate payment for services rendered
  • Legal compliance — to meet obligations under applicable Canadian laws, including tax and consumer protection legislation
  • Service improvement — to analyze aggregate, anonymized data to improve our offerings (no individual is identified in this analysis)
  • Marketing communications — only with your express consent, to send seasonal promotions, service reminders, or company news

We will not use your personal information for any purpose other than those listed above without first obtaining your consent, unless required or permitted by law.

Your Consent

By submitting a booking request through SimplyBook.me, contacting us via phone or email, or otherwise providing us with your personal information, you consent to the collection, use, and disclosure of that information for the purposes described in this policy.

Under PIPEDA, consent must be meaningful. This means:

  • Express consent — is required for sensitive information or for uses beyond the primary service purpose (e.g., marketing emails). You may opt out of marketing communications at any time by emailing info@okanaganmarineguys.ca or clicking the unsubscribe link in any email we send.
  • Implied consent — applies to information collected as a necessary part of providing the service you requested (e.g., using your phone number to confirm your booking).

You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us at the details in Section 13. Withdrawal of consent may affect our ability to provide you with certain services.

SimplyBook.me & Third-Party Service Providers

We use SimplyBook.me (operated by Simply Genius Ltd.) as our online booking platform. When you book a service through our website, your personal information — including your name, phone number, email address, and booking details — is entered into SimplyBook.me's platform and processed on their servers.

SimplyBook.me acts as a data processor on our behalf. They are contractually bound to:

  • Process your data only as directed by us and for the purpose of providing the booking service
  • Implement appropriate technical and organizational security measures
  • Not use your data for their own marketing or commercial purposes without your separate consent
  • Comply with applicable data protection laws

SimplyBook.me's servers may be located outside Canada, including in the European Union. Where data is transferred outside Canada, we take steps to ensure it receives comparable protection. SimplyBook.me operates under applicable European data protection law (GDPR), which is generally considered to provide adequate protection.

We may also use the following categories of third-party service providers, each of whom may access limited personal information only to perform their specific function:

  • Email / communication tools (e.g., Google Workspace) — for correspondence and service delivery
  • Website analytics (e.g., Google Analytics) — to understand aggregate website usage (anonymized/pseudonymized where possible)
  • Payment processors — who process payments on our behalf under their own PCI-DSS compliant systems

We do not sell, rent, trade, or otherwise transfer your personal information to unaffiliated third parties for their own marketing purposes.

How Long We Keep It

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. Our general retention practices are:

When personal information is no longer required, we securely destroy or anonymize it so it can no longer be associated with any individual.

How We Protect It

We use appropriate technical, organizational, and physical safeguards to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include:

  • Encryption in transit — our website uses HTTPS (TLS). Data submitted through our booking system is encrypted in transit.
  • Access controls — access to personal information is limited to employees and contractors who need it to perform their job functions.
  • Third-party security — we select service providers (including SimplyBook.me) that maintain industry-standard security practices.
  • Password policies — internal accounts are protected with strong passwords and, where available, multi-factor authentication.
  • Physical security — paper records (if any) are stored securely and disposed of by shredding.

Despite our best efforts, no method of transmission over the internet or electronic storage is 100% secure. If you have reason to believe your interaction with us is no longer secure, please notify us immediately at info@okanaganmarineguys.ca.

In the event of a privacy breach that poses a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA's breach notification regulations (effective November 1, 2018).

Disclosure of Personal Information

We do not disclose your personal information to third parties except in the following circumstances:

  • With your consent — we will obtain your consent before sharing your information for any purpose not described in this policy.
  • Service providers — to trusted vendors who process data on our behalf (as described in Section 6), bound by confidentiality obligations.
  • Legal requirements — if required by law, court order, or a government authority with lawful authority to request the information.
  • Protection of rights — to protect the rights, property, or safety of Okanagan Marine Guys, our customers, or the public, where permitted by law.
  • Business transfer — in the event of a merger, acquisition, or sale of business assets, personal information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website before your personal information is transferred and becomes subject to a different privacy policy.

Cookies & Website

Our website uses cookies — small text files stored on your device — to improve your experience and help us understand how visitors use our site. The types of cookies we use include:

  • Essential cookies — necessary for the website to function (e.g., session management). These cannot be disabled.
  • Analytics cookies — used by tools such as Google Analytics to collect anonymized data about website traffic, page views, and user behaviour. This data is aggregated and does not identify individual visitors.
  • Booking widget cookies — set by SimplyBook.me to maintain your session state when you use the online booking tool.

You can control cookies through your browser settings. Most browsers allow you to refuse or delete cookies. Please note that disabling cookies may affect the functionality of certain parts of our website, including the online booking system.

Our website does not respond to "Do Not Track" browser signals at this time, though we continue to monitor industry standards in this area.

Access

You have the right to request access to the personal information we hold about you and to receive a copy of it within 30 days of your request.

Correction

If you believe any personal information we hold is inaccurate or incomplete, you have the right to request that we correct it.

Withdraw Consent

You may withdraw consent to our use of your personal information at any time, subject to legal and contractual limitations.

Opt-Out of Marketing

You may unsubscribe from marketing communications at any time by emailing us or using the unsubscribe link in any email.

Complaint

You have the right to complain to the Office of the Privacy Commissioner of Canada if you believe your rights have been violated.

Accountability

You may ask us to identify our Privacy Officer and learn how we are accountable for the personal information in our custody.

To exercise any of these rights, please contact us using the details in Section 13. We will respond to verified requests within 30 calendar days. In exceptional circumstances we may extend this by a further 30 days, in which case we will notify you of the extension and the reason for it.

Accuracy of Your Information

We make reasonable efforts to ensure that the personal information we hold is accurate, complete, and up to date for the purposes for which it is used. We rely on you to provide accurate information and to notify us of any changes.

If you believe any information we hold about you is inaccurate or out of date, please contact us and we will correct it promptly. If we disagree that a correction is warranted, we will note your request in our records.
